YOUR ROLE AND IMPACT
The Leasing & Experience Manager acts as the first line of contact for all future neighbors and is responsible for generating traffic, securing appointments, ensuring follow up, maximizing rentals by assisting in the total leasing efforts, and integrating marketing programs of each of the properties he/she is assigned to, assuring a unique guest experience. The Leasing Manager participates in the presentation and monitoring of a market ready product and performs all administrative duties related to the on-site sales/marketing functions and sales reporting requirements. This position will focus on generating/maximizing rent growth as outlined in each of the properties’ annual operating budgets. Additionally, this position is responsible for providing quality client relations during each neighbor’s stay. This position reports directly to the Sr. Neighborhood Director and supervises the leasing team.
AVERAGE % OF TIME
Leasing Activities - Direct supervision of the entire leasing process including traffic generation (phone/email/fax/walk-in) for all assigned properties, schedules appointments as necessary and conducts tours consistent with the Ultimate Leasing Experience. The Leasing & Experience Manager will also assist other Neighbor Ambassadorswith closing rentals and will ensure 100% follow up is achieved for all property tours. Maintain net rental activity as defined by the operating budget and management plan for each assigned property through successful leasing of apartment homes, qualifying future neighbors, verifying and approving rental applications, performing credit investigations, and creating all associated documentation accompanying the rental agreements. This will be performed in a timely and accurate fashion for the Sr. Neighborhood Director approval. In addition the Leasing & Experience Manager will acquaint new neighbors with leasing documentation, the rules and policies for each property, demonstrate/explain apartment functions and emergency procedure’s and ensure neighbor satisfaction upon move-in.
Neighbor Relations - Present a professional, efficient approach to remedy any neighbor concerns with appropriate documentation and follow-up as necessary to ensure neighbor satisfaction, promote neighbor and business referral programs within company guidelines; collaborate with other on-site Prometheans to prepare for and attend neighbor functions. The Leasing & Experience Manager will monitor neighbor follow up with in 30 days of move in as well as maintain regular client relations throughout the neighbor’s stay to ensure a Home 360 experience.
Daily Operations - Assist with collecting and accurately recording the receipt of funds on a daily basis; take a proactive role in the preparation and maintenance of current neighbor profiles along with supporting the marketing functions of the property through recording accurate data for future neighbors and neighbors; assist in preparing the rental office for opening to general public; walk the property daily and note any deficiencies in market ready product by checking the tour route to ensure complete compliance with company policies and standards and notifying the designated Promethean for action and follow-up remedies; track and record all traffic and rental results including LevelOne leads and other ILS inquiries; ensure craigslist ads are posted daily and meet posting standards; respond to all telephone traffic promptly and follow up with future neighbors using Prometheus developed sales procedures; identify and visit all competition once per quarter and use information to update marketing analysis/survey; develop intimate knowledge of submarket conditions and relay this information to the ND, Asset Manager, PFM, and other corporate Prometheans as necessary; take an active role in daily pricing and concession recommendations to ensure rental velocity in regards to each of the properties’ leasing and occupancy goals per the annual operating budgets. In addition, review and provide renewal recommendations for each assigned property for the ND review.
Industry Expertise - Responsible for knowing all current rental policies including any concession programs available and particularly for site-specific rental programs (corporate housing, subsidized housing, BMR qualifications, Section 8 information, etc.); possess knowledge of policies and procedures of the company particularly as they relate to Fair Housing, discrimination and occupancy standards; and maintain an in-depth knowledge of the rental agreement and be cognizant of any legal issues with which they may be tasked (i.e., 3-day notices); knowledge of all submarket conditions and trends such as job growth/reduction new apartment or other housing developments, competitor acquisitions, competitor concessions and pricing identified via a monthly market analysis .
Supervisory Responsibilities - Monitor and supervise the leasing team; check attire of Prometheans to ensure they follow the Prometheus’ Look Policy; knowledge of all property policies for guidance and expertise purposes; general training and development of new team members and assistance with all Promethean and customer inquiries; reviews all move in paperwork and documentation for accuracy; assists with training of new leasing consultants, updating team on rental/market conditions and all other factors that apply to the property occupancy and availability goals. The Leasing & Experience Manager will prepare annual reviews and set goals for the Neighbor Ambassadors.
Upholding Standards - Maintain a minimum of 33% closing ratio on qualified, walk-in traffic; maintain a minimum of 50% phone to traffic ratio on qualified sales calls; perform 80% or better on phone and property shopping reports; perform additional duties and handle projects as assigned by the General Manager/Property Manager/ Property Administrator Manager; achieve regular attendance in conformity with standards; comply fully with all Prometheus Real Estate Group rules and regulations for the safe and effective operation of the Prometheus Real Estate Group’s facilities; additional tasks as may be assigned from time to time by the Principal or others at the Principal’s direction.
