  • Position Purpose

    Our Home Office Receptionist is the first face one hundred and twenty Prometheans see every day. In addition to greetting visitors, our Home Office Receptionist receives calls at the company front desk area, determines nature of caller’s business, and then directs callers to contact person, department or property/site

    Essential Functions




    Reception Area Maintenance and Office Support- Regularly manage inventory for office supplies in front conference and break rooms, empty dishwasher in front kitchen; Order all office (paper, toner, etc.) and break room supplies; Maintain tidy and clean work environment; Maintain neat appearance at reception and other common areas; Request building and housekeeping services as needed; process FedEx, OnTrac and outgoing courier packages; Process all invoices and maintain Office Services helpdesk tickets; Serve as primary contact for Sonitrol security system and ESP ergo assessments;  Order lunch for the executive meetings; Serve as back up to mailroom.


    Telephone Correspondence Responsibilities – Receive and direct incoming calls to appropriate personnel in a prompt and professional manner; Greet and assist all guests and visitors; Follow security procedures for recording guests and visitors; Arrange escorts as needed and issue visitor passes; Assist with scheduling meeting and conference rooms on the Outlook calendar; Manage and update various company forms such as phone and property lists.


    Upholding Standards - Perform additional duties and handle projects as assigned by the Office Services Manager; Achieve regular attendance in conformity with standards; Comply fully with all Prometheus Real Estate Group rules and regulations for the safe and effective operation of the Prometheus Real Estate Group’s facilities; Additional tasks as may be assigned from time to time by the Principal or others at the Principal’s direction; Occasional travel will be required based upon the property’s needs.

    Required Qualifications, Skills, And Experience

    The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:


    • High school diploma or general education degree (GED).  Associate’s degree preferred


    • Minimum of three years experience in a receptionist role


    • A background in Real Estate or Property Management is preferred


    • Ability to read and interpret documents such as safety rules, operating instructions and procedure manuals and write routine reports and correspondence


    • Must be able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram for


    • Ability to read, analyze and interpret complex documents.


    • Effectively present information and respond to questions from groups of managers, clients, residents, and the general public.


    • Must possess basic computational skills; add, subtract, divide, and multiply.  Must have the ability to compute rate, discounts, interest, and commissions.  Must be able to prepare and analyze data figures and transcriptions generated by a computer


    • Computer proficient in Windows, MS Office, Word, Excel, Outlook, OneSite and the Internet.  Ability to type 50+ wpm.


    • Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems involving several concrete variables in standardized situations


    • Ability to interpret a variety of instructions furnished in written, oral diagram, or scheduled form.


    • Ability to speak, communicate, read, write and understand the primary languages used in the workplace including, but not limited to, English in order to maintain safety in the workplace and serve internal and external customers.


    • Ability to focus and maintain attention to performance of tasks and to work and complete assignments on time despite frequent stressful, emergency, critical or unusual interruptions.
