Your Role and Impact

 

Our Operation Services Team is searching for highly organized Administrative Assistant to help provide administrative support to our Operations department. In this role you will constantly be presented with a variety administrative duties that will require you to use your organizational and planning skills to keep pace in an constantly evolving industry. You are known for your professional and positive attitude, and most importantly, you are driven by your willngess to support others, always ensuring our Prometheans have the tools an resources they need to effectively do their job.

 

Your Primary Responsibilities Include:

  • Customer Support – You have a “people first” mindset and are passionate about helping our Prometheans in whatever way you can. Usually that means you are busy maintaining department calendars in Outlook, booking travel arrangements, recording meetings notes, ordering supplies, and when all that is done you find yourself asking "what else can I do to help?"
  • Administration - Every detail counts. Whether it's creating custom reports, preparing budget documents, or auditing internal databases, you master the "behind the scenes" operations of property management.
  • Project Support – New projects are always being introduced to our Operation Services Team, and you can't wait to pitch in. Some days you exercise your creative side to help write new company-wide letters, and other days you use your analytical skills to manage the launch schedule for a new project.

  • Your Experience - Property management or customer support is nothing new to you. You have a demonstrated passion for providing support to customers, either inside or outside your organization and know how to efficiently manage your time and maintain an organized system in a very busy environment.

  • Your Education - A Bachelor’s degree is preferred in one of the following:  Communication, Business Administration, Finance, or Real Estate Management. A high school diploma or general education degree (GED) is required.

Required Qualifications, Skills, And Experience

Our new Administrative Assistant must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • Creative writing.

  • Ability to read and interpret documents such as safety rules, operating instructions and procedure manuals and write routine reports and correspondence.

  • Must be able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

  • Ability to read, analyze and interpret complex documents.

  • Effectively present information and respond to questions from groups of managers, clients, residents, and the general public.

  • Must possess basic computational skills; add, subtract, divide, and multiply. Must have the ability to compute rate, discounts, interest, and commissions. Must be able to prepare and analyze data figures and transcriptions generated by a computer.

  • Computer proficient in Windows, MS Office, Word, Excel, Outlook, PowerPoint and the Internet. Ability to type 50+ wpm.

  • Ability to speak, communicate, read, write and understand the primary languages used in the workplace including, but not limited to, English in order to maintain safety in the workplace and serve internal and external customers.

  • Ability to focus and maintain attention to performance of tasks and to work and complete assignments on time despite frequent stressful, emergency, critical or unusual interruptions.
